Data English: what exactly is repeated?

An analyst flags two order rows because both say approved. Your reply needs to explain what matches and what does not.

The short answer

Say “The status value repeats, but the order IDs differ.” Two rows sharing one value are not necessarily identical records. Ask “Which fields should match for us to call these duplicates?” before making that claim.

Name the field, not just “duplicates.”

In our fictional export, the only columns are order_id and status. One row is A17 / approved; the other is A18 / approved. Status repeats, while order_id differs, so the complete displayed rows are not identical. A business may define duplicate orders using a particular set of fields; that rule must be confirmed separately. Use repeats for the observed value and differs for the contrasting field. Do not turn an observation into an instruction to delete data.

Compare the examples

Observed match

The status value repeats in these two rows.

Observed difference

The order IDs differ: A17 and A18.

Missing rule

Which fields should match for us to call these duplicates?

Notice the difference

Identical means the same across the stated comparison. Different IDs establish a difference here, but do not settle every possible business rule.

A17 / approved and A18 / approved: what repeats?
Read all answers and explanations
  1. A17 / approved and A18 / approved: what repeats?

    The status value

Approved appears twice in status; the IDs are different.

  2. Which sentence accurately contrasts the two displayed rows?

The status values match, but the order IDs differ.

Keep the matching status and differing order_id in the correct roles.

  3. A colleague means duplicate orders, not identical displayed rows. What needs clarification?

Which fields define a duplicate order in this check

The business comparison rule is still unspecified.

Put it into practice

Rewrite the quality note

Only order_id and status are shown: A17 / approved and A18 / approved. Preserve the observations without assuming a deletion rule.

Original draft

These are duplicate orders. Delete one.

The status value repeats, but the order IDs differ. Which fields define a duplicate order in this check?

A useful note makes the evidence more precise without making a decision the evidence cannot support.

Common questions

A few useful details before you move on.

Can different IDs still need investigation?

Yes. A business rule may compare other fields. Different IDs mean these displayed rows differ; they do not settle every duplication question.

For example

Please confirm which fields define a duplicate order.

Is a repeated value always an error?

No. Many valid orders can share a status. Explain the specific observation before labeling it an error.

For example

Several different orders have the status approved.

Take it into your day

Report the exact match, preserve the difference and ask for the rule.
